Permit management
Portfolio, counter and alerts work together.
A Z permit is not embedded in a vehicle; it is assigned to one and moved to another when the vehicle changes. RentOkey tracks that life cycle at company level.
Transfer counter for idle permits
A permit removed from a vehicle becomes idle. If a transfer period is set in Settings, a “X days left to transfer to another vehicle” counter is shown.
Unpermitted vehicle warning
Vehicles without a Z permit, past their renewal date or at the age limit show as At risk in the fleet and in reservations. The warning never blocks a rental.
Renewal reminders
A permit nearing renewal appears in the documents list on the home screen, in notifications and in the Open tasks and risks report.
Age limit and replacement plan
First registration and Z plate conversion dates are recorded. For a vehicle less than a year from the age limit, a “permit cannot be renewed next year, plan a replacement” note appears.
Permit document archive
A scan or photo of the permit document is stored inside the permit record, not in a folder.
Permit life cycle
Add, assign and transfer when needed.
Z permits are managed by System Administrators and Technical & Operations; Branch Managers and Field/Customer Representatives can only view them.
Add the permit
Permit number, start and renewal date and, if any, the vehicle. An idle permit you already hold can be entered with the date it became idle.
Assign it
From the Z permit card in the vehicle centre, assign one of the idle permits directly to a vehicle without one.
Transfer on vehicle change
A permit removed from a vehicle becomes idle and the transfer counter starts; assign it to another vehicle or cancel it if it will not be used.

Northern Cyprus companies set their own vehicle age limit, renewal warning period and idle permit transfer period instead of Türkiye's 2027 age/mileage and deposit rules.
