See it in context

Priority tasks and the vehicle hub show the fleet's status today.

Look at a sample fleet: an expired inspection, insurance coming due, a car due for service and a car waiting in the workshop. Vehicles and dates in the image are examples.

Fleet management

Every vehicle's status, documents and maintenance in one place.

The fleet list shows available, on-rent, in-service and needs-attention counts at a glance. Only plate, make and model are required; missing details can be completed later from Priority tasks.

Vehicle hub

Overview, documents, reservations, maintenance and a 90-day income and expense summary on one screen; each role sees only the sections it is allowed to. “Next step” opens the missing detail or the document coming due.

Document deadline tracking

Traffic insurance, comprehensive cover, inspection, emissions and road tax dates. Documents due within 30 days or expired become alerts in Priority tasks and on the Home page; “Update documents” opens the right field.

Maintenance by mileage and date

The next service is set by both date and mileage; jobs within 30 days or 1,000 km come forward. Use a quick maintenance record or the Plan → In service → Complete flow.

Service and downtime tracking

A car entering the workshop shows as In service through a downtime record and becomes available again once the completion time passes. If a booking falls on the planned service dates, you are warned with the customer and dates.

Bulk updates

When the fleet policy renews or road tax is paid, apply the new date to vehicles selected with filters in one go. Mileage limits and excess charges are set in bulk from the same menu.

Digital document archive

Registration, policies, inspection certificate, road tax receipt, vehicle photos and service invoices on the vehicle's own card. On a phone, Take photo opens the rear camera directly.

From Excel to a live fleet

Your fleet is tracked in three steps.

Import your vehicle list and enter document dates in bulk; alerts and maintenance reminders start on their own.

01

Import vehicles

Upload an Excel/CSV vehicle list or add cars one after another with “Save and add another”. A row whose plate is already in the fleet updates that vehicle.

02

Enter the dates

Apply document dates to selected vehicles with Bulk update, then enter the last service mileage and the next service. Leave untracked documents blank.

03

Follow the alerts

Documents coming due, services due and ongoing downtime appear in the fleet's Priority tasks, on the Home page and in the Maintenance Centre.

From purchase to sale.

Enter the purchase price, estimated resale value and holding period, and monthly depreciation is calculated; the Vehicle profitability report shows each car's real profit and return on investment. Sold vehicles stay in historical reports.

  • Purchase price and estimated resale value
  • Sale date, price and exit reason
  • Major repairs such as an engine replacement added to vehicle cost
Vehicle tracking integration

With Arvento connected, the fleet list also shows where each car is.

Whether a car is at the branch, off site or not reporting, mileage suggestions at handover and return, and movements outside bookings all come to the same fleet screen.

Once marked In service, the car shows as In service. When a service is planned on dates that already have a booking, you are warned with the customer, contract and dates. After the completion time entered on Complete maintenance, the car shows as available again automatically.
