How to choose car rental software: a 2026 comparison guide

Desktop licence, packaged cloud or per-vehicle subscription: compare car rental software for Türkiye and Northern Cyprus by pricing model, regulation and integrations.

There is no single answer to "what is the best car rental software?": an 8-car, single-branch company and a 120-car company with three branches and agency partners need different things. The right software is the one that fits your fleet and the way you work.

This guide was written by the RentOkey team, and our own product is in the comparison. For other programs we used only what they publish on their own websites, with source and date, and we state openly which features RentOkey does not have. It is an English adaptation of a guide written for rental companies in Türkiye and Northern Cyprus.

Short answer: choose by five criteria

  1. Pricing model: one-off licence, fixed monthly package or subscription by vehicle count? How does the total change as the fleet grows?
  2. Deployment: desktop software installed on a computer, or cloud software that runs in the browser and on phones? Can field staff use it on a phone at handover?
  3. Regulation: does it support Türkiye's 2027 car rental regulation (vehicle age, mileage, deposits) or Northern Cyprus Z permit tracking?
  4. Integrations: do you need e-invoicing, card payments (virtual POS), an online booking website or a vehicle tracker such as Arvento, and does the software have them?
  5. Operational depth: digital handover/return reports, conflict checks, multiple branches and role-based access, reporting.

Ask yourself before looking at software

  • How many vehicles do I have, and how many will I have in 12 months?
  • How many branches and users will use it? Would per-user pricing affect the budget?
  • Should customers book directly on my website, or are phone, WhatsApp and agencies enough?
  • Do I need to issue invoices from the software, or does my accountant use separate software?
  • Which disputes do I have most at handover and return: damage, fuel or mileage?

Ten questions to ask in a demo or trial

  1. Is pricing by vehicle, user or branch? What is the total for 2 branches and 10 users?
  2. How do I import my existing Excel lists (vehicles, customers, reservations)? Is there help with the import?
  3. What happens if a conflicting reservation is entered for the same vehicle?
  4. How are photos, damage, mileage, fuel and signature recorded at handover and return? What does the customer receive?
  5. What can field staff do on a phone?
  6. Is there role-based access? Can a branch manager see only their branch?
  7. What tracking is there for Türkiye's 2027 regulation or Northern Cyprus Z permits?
  8. Are e-invoicing, card payments, online booking and vehicle tracking available, and at extra cost?
  9. Where is my data stored, how is it backed up and how long are ID images kept?
  10. If I cancel, can I export my data?

When is RentOkey a good fit, and when is it not?

A good fit: you work with several branches or many users (there is no user or branch limit), you have damage disputes at handover and return, you need to track Z permits in Northern Cyprus, your vehicles have Arvento trackers, or you are preparing for Türkiye's 2027 regulation.

Not a fit today: if issuing e-invoices from the software, taking card payments through a virtual POS or letting customers book directly on your website is a must, RentOkey does not have these features today. If you are looking for accounting software, RentOkey does not replace it; it gives your accountant an Excel export.
