Car rental vehicle handover checklist: what to include
Every field a car rental handover and return form needs, a filled-in example, photo angles and the most common mistakes.

The vehicle handover form is the only document that shows the condition a car was in when it left your hands. When a scratch or missing fuel is disputed at return, it is all you have to rely on.
This article lists the fields every car rental handover form must have, a filled-in example and how to compare the return against the handover. You can copy the tables straight into your own Word or Excel template. It is an English adaptation of a guide written for rental companies in Türkiye and Northern Cyprus.
Short answer: what goes on a handover form?
Parties: company name, the staff member handing over, the customer and the driver if different.
Vehicle: plate, make/model, colour and the reservation or contract number.
Time and place: the actual date, time and location of the handover (branch, airport, hotel).
Mileage and fuel: the odometer reading and fuel level (for example 8 of 8 segments).
Damage: existing damage marked on a vehicle diagram with its type.
Photos: at least one photo per angle plus close-ups of damage.
Accessories and documents: keys, registration, spare wheel, child seat and anything else handed over with the car.
Signature: the customer's name and signature and the staff member's name.

Numbers should match the markers on the vehicle diagram. Instead of vague notes such as "scratch on the right side", write the location, type and size.

Which photo angles should you take?
Photos are the evidence behind each mark on the diagram. Taking the same angles at every handover makes side-by-side comparison with the return photos possible:

Add a close-up of every damage. Store photos with the reservation record, not on a staff member's phone; three weeks later nobody should be arguing about which photo belongs to which rental.
How to compare the return with the handover
A return form is not a new blank form; it is a comparison with the handover. At return, check:
New damage: every mark not on the handover diagram gets its own number; handover damage is not marked again.
Missing accessories: items marked "Yes" at handover that are not there at return.
Fuel difference: any shortfall from the handover level.
Mileage and excess: return minus handover mileage, and the part above the allowance if there is one.
Time: the difference between the planned and actual return time.
Common mistakes
Filling in the form in a hurry, after the customer is already in the car.
Marking damage only with a cross on the diagram, without location, type and size.
Skipping the dashboard photo, leaving no evidence in mileage and fuel disputes.
Leaving photos on a staff phone or in a WhatsApp chat.
Filling in a new blank form at return instead of comparing it with the handover.
Not giving the customer a copy of the form.
